Terms of Service
Service
ForecastFix is a hosted SaaS financial reporting and consolidation tool for trial balances, charts of accounts, mappings, dimensions, FX rates, journal outputs, and financial statement reporting.
Market FX rates shown in the service are sourced from Open Exchange Rates. ForecastFix may store, transform, and display those rates as monthly closing rates, monthly average rates, and derived cross-currency rates for reporting workflows.
The service is designed to support accounting workflows that may be used for GAAP or IFRS reporting, but it does not replace professional judgment, management review, external audit procedures, legal advice, tax advice, or formal accounting policy decisions.
ForecastFix is a GAAP/IFRS-aligned reporting platform, not a public accounting firm, audit firm, tax advisor, legal advisor, or compliance certification service. Use of the service does not certify that your financial statements, trial balances, consolidations, disclosures, or internal reports comply with GAAP, IFRS, tax law, securities law, lender requirements, or any other accounting or reporting standard.
Authority and Account Use
By creating an account, you represent that you are authorized to use the service for your organization and to submit financial and operational data on behalf of that organization.
You are responsible for user access, company-level permissions, passwords, review controls, and all activity performed under accounts in your organization.
Plans, Usage, Billing, and AI Credits
ForecastFix subscription plans include the usage allowances shown at checkout or in the billing portal, order form, or applicable written agreement. Plan limits may include entities, users, forecast versions, reporting charts, AI credits, storage, support level, or other capacity controls.
Subscriptions renew automatically for the selected billing period unless cancelled before renewal through the billing portal or another method we provide. You authorize ForecastFix and its payment processor to charge the payment method on file for recurring subscription fees, add-ons, usage-based charges, taxes, and other amounts you approve.
If you upgrade, add capacity, enable AI auto-refill, or approve usage-based charges during a billing period, Stripe or another payment processor may calculate prorated or additional charges and collect payment for the change.
Fees are non-refundable except where required by law or expressly agreed by ForecastFix in writing. If you cancel, access continues through the paid subscription period unless payment fails or the account is otherwise restricted under these terms.
If any subscription, add-on, invoice, tax, or required billing amount is unpaid, past due, reversed, disputed, or fails payment, ForecastFix may suspend or limit access to the application. During suspension, users may be limited to organization and subscription management pages.
AI auto-refill settings, when enabled by an organization admin, may purchase additional AI credit packs when the purchased-credit balance falls below the selected threshold, subject to the selected refill amount and monthly spend cap. The organization is responsible for configuring thresholds, refill amounts, spend caps, and payment methods.
We may change public prices, packaging, or plan limits on a prospective basis. Material billing changes for an active paid subscription will apply at renewal or when you approve a plan change, except where a separate written agreement states otherwise.
Customer Data and Accounting Responsibility
Your organization owns its uploaded and generated accounting data. You are responsible for the completeness, accuracy, authorization, classification, mapping, consolidation, and presentation of that data.
ForecastFix may calculate, transform, store, and display data based on your configuration. You remain responsible for determining whether reports, adjustments, mappings, and disclosures comply with GAAP, IFRS, local law, tax rules, lender requirements, and internal policies.
Any templates, mappings, formulas, warnings, retained earnings calculations, NCI calculations, FX calculations, period-close controls, dashboards, exports, or other outputs are software features intended to assist your review. Your organization and its accountants, auditors, tax advisors, legal advisors, and other professional advisors remain responsible for final accounting treatment, financial statement approval, filing decisions, and external reporting.
Customer Data License and Confidentiality
As between you and ForecastFix, your organization owns customer-submitted trial balances, charts of accounts, mappings, dimensions, reports, files, journal entries, and other organization content. You grant ForecastFix a limited right to host, process, transmit, display, back up, secure, and use that content only as needed to provide, maintain, protect, and support the service and as otherwise described in these terms and the Privacy Policy.
ForecastFix will treat non-public organization content as confidential and will not disclose it except to provide the service, comply with law, address security or abuse, work with service providers under appropriate obligations, or as authorized by your organization.
Customers are responsible for obtaining all rights, permissions, and notices needed to upload or process data in ForecastFix, including data relating to employees, contractors, vendors, customers, subsidiaries, and other third parties.
Data We Use
To provide the service, ForecastFix uses account information, organization and company information, user roles and permissions, authentication and security records, billing details, support communications, device and network information, and customer-submitted accounting and reporting content.
We use this data to create and manage accounts, authenticate users, enforce access controls, operate reporting and consolidation workflows, process billing, send service communications, provide support, maintain audit history, improve reliability, comply with legal obligations, and protect the service from fraud, abuse, and security threats.
AI and Automated Features
ForecastFix may include AI-assisted chat, analysis, mapping suggestions, formula assistance, anomaly explanations, workflow guidance, or other automated features. AI outputs may be incomplete, outdated, inaccurate, or inconsistent, and must be reviewed by qualified users before being relied on for accounting, reporting, filing, tax, audit, lending, investor, or compliance purposes.
AI features do not create audit opinions, accounting opinions, tax advice, legal advice, valuation opinions, fairness opinions, or assurance reports. Your organization remains responsible for approving all reports, mappings, adjustments, journal entries, disclosures, and decisions.
When you use AI features, prompts, selected page context, tool results, accounting metadata, and generated responses may be processed by ForecastFix and its AI service providers to provide and secure the requested feature. Do not submit data to AI features that your organization is not authorized to process in the service.
Third-Party Services and Market Data
ForecastFix uses third-party providers for hosting, storage, payments, email, SMS messaging, AI processing, security, monitoring, and other operational functions. ForecastFix is not responsible for third-party service outages, carrier failures, payment-network failures, or data-provider interruptions outside its reasonable control.
FX rates and other third-party market data are provided for software workflow support and may be delayed, incomplete, unavailable, revised, or subject to provider restrictions. Customers are responsible for determining whether any rate, source, methodology, or calculation is appropriate for their reporting requirements.
Third-Party Trademarks and Integrations
Third-party company names, product names, service names, logos, and trademarks referenced in ForecastFix belong to their respective owners. ForecastFix uses those names only to identify customer-configured connections, possible interoperability, data sources, payment processing, or other third-party services.
Unless ForecastFix expressly states otherwise in writing, references to third-party services do not mean that ForecastFix is connected to those providers. ForecastFix is not affiliated with, sponsored by, certified by, approved by, or endorsed by those third parties.
Customers are responsible for having the subscriptions, API rights, access credentials, and permissions required to connect ForecastFix with any third-party system or data source they choose to use.
ForecastFix may develop third-party integrations using official APIs, OAuth, webhooks, file imports, or other connection methods authorized by the applicable provider and customer organization. Some integrations may require provider app review, production keys, redirect URI approval, customer admin consent, specific scopes, rate limits, or other third-party requirements.
ForecastFix does not authorize customers or users to bypass third-party access controls, use credentials without permission, exceed authorized API rights, violate third-party terms, or connect systems in a way that infringes third-party rights. Integration features may be limited, suspended, or unavailable if required permissions, provider approvals, security controls, or third-party service availability are not in place.
Open Source Software and Fonts
ForecastFix is built with open source software, including Django, boto3, gunicorn, openpyxl, psycopg2-binary, redis-py, requests, Stripe's Python library, WhiteNoise, Vite, Playwright, Fontsource Roboto, and their transitive dependencies. These packages remain governed by their own license terms.
The current dependency set is primarily permissive open source software under MIT, BSD, Apache-2.0, ISC, MPL-2.0, OFL-1.1, and similar licenses. Some bundled dependency metadata includes LGPL-with-exceptions terms. ForecastFix does not sell those packages by themselves.
ForecastFix self-hosts Roboto webfont files from @fontsource/roboto. The bundled Roboto font files are licensed under the SIL Open Font License, Version 1.1. The font files are included with the application and are not loaded from Google Fonts at runtime.
Django admin static assets may include bundled third-party assets such as Font Awesome-derived icons, jQuery, Select2, XRegExp, and related license notices when collected for deployment.
SMS Messaging Terms
Customers may opt in to receive SMS messages from ForecastFix by texting +1 (843) 418-2524 or by otherwise providing consent through the service. SMS messages may include account verification codes, security notices, service alerts, support communications, billing reminders, or other transactional messages related to the service.
Message frequency may vary. Message and data rates may apply. Consent to receive SMS messages is not a condition of purchasing or using paid ForecastFix services.
To stop receiving SMS messages, reply STOP or send another reasonable opt-out request to privacy@forecastfix.com. We will honor SMS opt-out requests as soon as practicable and no later than 10 business days after receipt. For help, reply HELP or contact us by email. Mobile carriers are not liable for delayed or undelivered messages.
To the maximum extent permitted by law, ForecastFix is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from SMS messages, delayed or undelivered messages, unauthorized access to your device or phone number, or your failure to keep account and contact information current.
Service Availability, Support, and Maintenance
ForecastFix may update, suspend, limit, replace, or discontinue features to maintain security, reliability, compliance, or product quality. We may perform maintenance that affects availability, and emergency maintenance may occur without advance notice.
Support is provided through the channels and service levels associated with your plan or written agreement. ForecastFix does not provide a service-level agreement, uptime credit, dedicated support commitment, or professional services obligation unless expressly stated in a separate written agreement.
Retention and Organization Deletion
For active organizations, current operational data such as trial balances, charts of accounts, mappings, dimensions, report definitions, generated outputs, and uploaded files is retained while the organization remains active or as needed to provide the service.
Audit trails, history records, historical snapshots, and related audit payloads are retained for seven years unless a longer period is required by law, contract, security need, or dispute preservation. After that retention period, those audit and history records may be deleted or archived according to our retention controls.
Subscription cancellation does not automatically erase organization data. A cancelled or inactive subscription may restrict access to the service. If an organization remains inactive or unsubscribed for seven years after the last known service period end, the organization and its data may be permanently deleted unless it is reactivated earlier or a longer period is required by law, contract, security need, or dispute preservation.
If an authorized organization admin requests deletion of an organization, the organization enters a soft-delete state for 14 days. During that grace period an authorized admin may restore the organization.
After the 14-day grace period, the organization is permanently deleted from active application databases and object storage, including trial balances, charts of accounts, dimensions, mappings, reports, audit payloads, memberships, generated outputs, and uploaded files. Disaster recovery backups may persist until their normal backup lifecycle expires and are not used for ordinary processing.
Security and Acceptable Use
You may not bypass access controls, test another tenant's data boundaries, upload malware, interfere with the service, or use the service for unlawful activity.
You may not reverse engineer the service, scrape or harvest data except through supported exports, overload the service, use the service to develop a competing product, remove proprietary notices, or use the service in a way that violates sanctions, export controls, anti-corruption laws, privacy laws, or third-party rights.
You must promptly notify us if you believe credentials, user access, or organization data may have been compromised.
Regulated Data Restrictions
ForecastFix is designed for business financial reporting workflows. Do not upload protected health information, full payment card numbers, consumer credit reports, government classified information, biometric identifiers, children's data, or other highly regulated sensitive data unless ForecastFix has expressly agreed in a separate written agreement that covers that data.
ForecastFix is not a bank, broker-dealer, investment adviser, credit reporting agency, money services business, public accounting firm, HIPAA business associate, or PCI payment-card vault.
Suspension and Termination
ForecastFix may suspend or terminate access if required amounts are unpaid, if use of the service creates security or legal risk, if an account violates these terms, if continued service would violate law or third-party provider requirements, or if required by court order or government request.
After termination or expiration, customer access may stop, but these terms continue to apply to payment obligations, confidentiality, disclaimers, limitations of liability, indemnity, retention, deletion, and dispute provisions.
Limitations
The service is provided as a hosted software tool. To the maximum extent permitted by law, ForecastFix disclaims all warranties, whether express, implied, statutory, or otherwise, including warranties of merchantability, fitness for a particular purpose, title, non-infringement, availability, accuracy, and error-free operation.
You should maintain appropriate independent records, backups, review controls, and professional accounting oversight for material financial reporting.
To the maximum extent permitted by law, ForecastFix will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost data, business interruption, or substitute services, arising from or related to the service.
To the maximum extent permitted by law, ForecastFix's total aggregate liability for all claims arising from or related to the service will not exceed the greater of the fees paid by the customer to ForecastFix for the affected service during the 12 months before the event giving rise to the claim or 100 US dollars.
Indemnification
You will defend, indemnify, and hold ForecastFix harmless from claims, losses, damages, liabilities, costs, and expenses arising from customer data, your use of the service, your violation of these terms, your violation of law, your configuration decisions, or your infringement or misuse of third-party rights.
Governing Law and Venue
These terms are governed by the laws of South Carolina, without regard to conflict-of-law rules. Unless a separate written agreement states otherwise, the state and federal courts located in South Carolina will have exclusive jurisdiction over disputes arising from or related to these terms or the service.
Changes
We may update these terms when the service, law, or operating practices change. Material updates may require users to accept a new version before continuing to use the service.
